About the role:
We’re seeking a dynamic and proactive Personal Assistant prepared to handle various requests, provide hands-on executive support, and manage personal tasks consistently. At Rescue, you’ll be the indispensable support to one of our inspiring Managing Director and co-founder of our company. Your primary reporting line will be directly to her.
As the Personal Assistant, you’ll ensure our Managing Director can focus on driving the company’s growth and strategic direction. Your exceptional organizational skills and talent for information management will be vital in maintaining her focus on priorities, minimizing distractions, and enabling well-informed decisions.
This is what you will do:
- Communication Management: Handle emails, calls, and messages for the Managing Director, prioritizing as needed
- Calendar Organization: Schedule appointments and events, keeping the calendar up-to-date
- Administrative Assistance: Contract and document management and organization, correspondence, and record-keeping
- Information Organization: Manage files, documents, and databases efficiently
- Task Coordination: Coordinate projects and liaise with team members
- Personal Assistance: Assist with personal tasks like shopping or household errands
- Meeting Assistance: Help prepare meetings, take minutes, and follow up on action items
- Research Support: Conduct research and provide summaries as requested
- Confidentiality Maintenance: Handle sensitive information with discretion
- Problem Resolution: Identify and address issues that arise
- Adaptability: Stay flexible and multitask effectively to meet changing needs
Requirements
- You have been supporting senior executives, preferably in fast-paced start-ups or high-growth environments
- You excel at organization and multitasking, managing competing priorities effortlessly
- You excel at producing final error-free and well-formatted/well-designed materials and communications
- Your attention to detail and analytical mindset allows you to distil complex information into clear summaries
- Your communication and interpersonal skills foster collaboration with diverse teams, building strong relationships
- You proactively anticipate needs, staying ahead of requirements
- You’re proficient in productivity tools, enhancing efficiency
- You understand and embrace the dynamic nature of startup culture
