As a Front Office Assistant, you will be the first point of contact for patients, ensuring that they are welcomed, registered, and billed accurately in accordance with The Nairobi Hospital’s policies. This role is key to delivering a seamless patient experience while maintaining the highest standards of professionalism and efficiency.

Key Responsibilities

As the Front Office Assistant, you will take on the following responsibilities:

  • Receive, confirm, and register patients (corporate, individual, and insurance schemes) into the hospital’s system with accuracy and efficiency.
  • Bill patients for medical services using various payment methods such as cash, credit cards, Mpesa, and cheques.
  • Scan patients’ documents to relevant insurance providers, ensuring proper documentation and following up to facilitate the approval of medical bill payments.
  • Advise patients on the approval status of their medical bills to ensure they can access the required services promptly.
  • Provide directional assistance to patients on the location of medical services within the hospital to enhance their experience.
  • Book appointments for subsequent visits, ensuring patients are informed accordingly and all appointments are correctly logged.
  • Bank cash and cheques collected on a daily basis and submit receipts to the senior cashier for reconciliation.
  • Prepare and submit daily payment summaries to the senior cashier, ensuring financial records are up-to-date and accurate.
  • Handle and dispatch all medical invoices to the assistant accountant for further processing.
  • Undertake any additional responsibilities assigned by the supervisor in line with the role.

Qualifications and Skills

To excel as a Front Office Assistant at The Nairobi Hospital, you should possess the following qualifications and skills:

Educational Background:

  • Diploma in Business Administration, Economics, Finance, or other business-related fields from a recognized institution.
  • Partial accounting qualification (i.e., CPA Part II or ACCA 2) will be an added advantage.

Experience:

  • A minimum of 3 years of relevant experience in a similar role, with at least 1 year of supervisory experience.

Core Competencies:

  • Excellent understanding of International Financial Reporting Standards (IFRS) and their application in healthcare financial management.
  • Strong grasp of Financial and Management Accounting, as well as Taxation principles and relevant legislation affecting the healthcare industry.
  • Comprehensive knowledge of accounting principles and practices, including the preparation of financial statements.
  • Familiarity with financial markets, banking procedures, and the analysis and reporting of financial data.
  • Knowledge of healthcare regulations and compliance requirements within the healthcare sector.
  • Strong proficiency in financial information management systems.

Skills:

  • Exceptional communication skills, with the ability to effectively present and facilitate discussions.
  • Strong supervisory skills, ensuring smooth day-to-day operations.
  • Highly developed analytical skills for accurate billing and financial record-keeping.
  • A high degree of integrity and accountability in handling sensitive financial data.
  • Ability to work efficiently under minimal supervision.
  • Proven problem-solving abilities and the capacity to work under pressure.
