Position Summary

The Scheduling Coordinator is responsible for facilitating the daily scheduling operations of interpreter requests. This role requires high attention to detail, organization, and an ability to communicate effectively with a diverse team of interpreters, clients, and internal stakeholders. They will be expected to balance multiple requests, prioritize them based on urgency and available resources, and maintain up-to-date records in the scheduling system.

The ideal candidate will have a background in administrative support as well as a general understanding of the language services industry. They should be proactive in problem-solving and flexible in changing client needs. The position involves consideration to interpreter and client availability, ensuring timely fulfilment of requests, and coordinating with their team lead on additional expectations.

Job Responsibilities

  • Schedule and coordinate language services appointments, optimizing resources based on skillset, location, and client needs.
  • Ensuring clear and prompt communication with our clients and interpreters in relation to their assigned or requested appointments.
  • Track appointment fulfilment and manage changes or cancellations as they arise.
  • Oversee the scheduling and coordination of interpreter assignments for client appointments, ensuring accurate matching of interpreter skills and qualifications to client needs.
  • Maintain accurate and up to date records in the scheduling database
  • Provide support to interpreters on any issues related to assignments, travel, and work requirements.

Qualifications

  • Bachelor’s degree preferred
  • 3+ years of experience in scheduling coordination or customer service
  • Strong organizational and multitasking skills, with the ability to prioritize effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency with scheduling software and Microsoft Office Suite.
  • Proven experience in interpreting services, scheduling coordination, or language access.
  • Time management skills including meeting deadlines, and managing competing priorities effectively.
  • Excellent interpersonal skills, with the ability to build rapport, resolve conflicts, and collaborate with diverse stakeholders, including clients, interpreters, and internal teams.
